New Hire Paperwork Steps


Welcome to the Park City Ski and Snowboard School.  We are glad to have you joining us!

As we get closer to the season, you will be sent a lot of information about hiring paperwork, work schedules, training and all of the critical steps that you will need to complete in order to be ready to go for your first day of training… unless otherwise indicated below, your contact through much of the process will be the Ski & Snowboard School Admin Team: please reach out to us through Pcinstadmin@vailresorts.com if you need assistance. We are here to help you.

Most of the hiring paperwork is completed online, and the final step is the in person I9 Verification.

Note that you have already completed the Background Check, and may be on the New Employee Setup or Final Onboarding Forms.


There are a few steps to completing your hiring process…

Note that you will have 2 communication channels and both are critical - add these to your contacts lists to ensure important communications don’t land in the junk folder!

VR Steps: these steps will be triggered by communications from vailresortscareers@vailresorts.com and will include general hiring forms that you need to complete

PC Steps: these steps are triggered by the local Park City Ski & Snowboard School team, and will come to you from PCInstAdmin@vailresorts.com. These will include specific forms for scheduling, training and final onboarding steps


Hiring Steps Checklist

_  VR: Pre-employment BACKGROUND CHECK

After you accept a position in Ski & Snowboard School, you will need to complete a background check. Within a few days, expect an email from vailresortscareers@vailresorts.com with instructions on how to complete this process. Please note that background checks can take anywhere from one to 30 days to process.

_  VR: Paperwork - The Electronic Hiring documents

After clearing the BGC above, you will receive an email that contains your hiring forms, called the New Employee Setup: this will contain all of the traditional hiring paperwork, with the exception of the Form I-9.

If you have not received this critical email, check in your junk folder, or use the “get help here” link on EpicEmployee.Vailresorts.com

_ PC: Training Session Sign Up

  • Instructors: this will be a multi-day on-snow training on skis/snowboards

  • Support Team and Assistant Instructors: this is a one day indoor and walking outdoor

_ PC: INstructors: submit your schedule for the season

  • Support staff - your schedules will be done throughout the season using Legion

_ PC: Schedule a date and time for check In

  • You will receive an email to select a Check-in session that is before your selected training dates

  • When planning ahead, note that this appointment is in person at the resort. When you select the date and time, please be sure you are able to make it, or your onboarding will be delayed.

  • You will bring your required documents to this appointment.

  • You will be required to show original unexpired work authorization documents for the form I9. Note: A license alone does not suffice. All documents must be ORIGINALS and UNEXPIRED - so no photos or photo copies. Examples of some accepted documents are:

    • Current Passport

    • State Issued Photo ID, such as a Drivers License, AND Social Security Card or Birth Certificate

    • All documents must be originals (no photos and no photocopies)

    • All documents with expiry dates must be current (not expired)

_  VR: Final Onboarding forms

The final step of onboarding can only be completed in the two week to two day window prior to your start date. Based on your start date and check-in date, your will be keyed into the HR system to be made activate as an employee. At this time, you will receive an email with instructions to complete five required electronic forms. Complete these forms as soon as you receive the email, and you MUST complete the Final Onboarding Forms before your check-in

  • I-9 - required - complete Part 1 before Check-In

  • Employee Guide Acknowledgement - required

  • W-4 - required

  • Pay Options - required

  • Ski/Activity Waiver - required

  • Dependent Verification and Dependent Document Upload - optional

  • EpicEmployee Terms & Conditions - optional

The sign on requires multi-factor authenticator… This requires you to set up a primary and secondary method of authenticating your login to secure HR websites.

Tips to make it easy on your first login:

Do NOT download the authenticator app at this time (you can set this up later if you like)

Instead click on “Choose Other Method

1. Primary method – have it text or call you with the authentication code

2. Secondary method – set up your security questions

This should get you to your forms on the first try. Once logged in, complete all sections and forms.

_  PC: IDs required for Check-in

Bring your original, unexpired work authorization documents. These documents prove your identity and show you are legally able to work in the US. All documents must be ORIGINALS and UNEXPIRED - so no photos or photo copies. Note: A License alone does not suffice for this federal form. Examples of some accepted documents are:

NOTE: The Check-In date is critical: missing the final step of hiring will reset some of your hiring paperwork, and it will delay your onboarding up to 3 days. When you select your training and check-in dates, please do so knowing that you will be able to come to the mountain when scheduled.

 _  VR: Complete the online trainings assigned in “the Lift”

_  PC: complete Ski and Snowboard School New Hire Training

This is in person, on site, and primarily on snow.

Instructors: make note of ALL of the dates for your session, as you will need to attend all of them in order to be an instructor.
